Forget the Clock: Design Meetings That Fit the Work

Optimizing workplace productivity often starts with reassessing seemingly minor elements, like the length of our meetings.

Instead of defaulting to the typical 30- or 60-minute blocks, align meeting durations with specific goals in mind.

Here's a few tips for testing different-length meetings:

  • Assess the agenda - choose the right length based on objectives. Short discussions may only require 20 minutes, while strategic sessions could extend to 90 minutes or more.

  • Build in breaks for longer meetings - for sessions exceeding an hour, incorporate short breaks. This keeps energy high and focus sharp, preventing fatigue and disengagement.

  • End with action items - always conclude with clear action items and assigned responsibilities. This practice turns discussion into tangible outcomes and offers insight into whether enough time was alotted for agenda items.

  • Review meeting effectiveness regularly - establish a routine to assess how meetings are performing. Solicit feedback to continually refine your process.

  • Promote efficient scheduling - move away from one-size-fits-all slots and put focus on purpose.
